Which details?
Online bookings require your name, email address and phone number. We also store your chosen date and time, party size, seating area, language, booking reference and booking status. Adding a note is optional.
Creation and update times help the team manage your booking. To limit misuse and duplicate requests, the system stores technical request identifiers and a protected hash derived from your IP address.
Only include information needed for your visit in the notes field. Please discuss sensitive information directly with the team.
Why do we use them?
Your contact and booking details are needed to process your request, reserve a table and contact you about your visit. They are used to fulfil your booking or take steps at your request before booking.
Security information helps prevent misuse and keep the system reliable, based on the legitimate interest in protecting the website and booking diary. The form does not sign you up for advertising or a newsletter.
Storage and retention
Cloudflare hosts the website and booking database. The Cloudflare D1 database is configured for storage within the European Union. Charlie’s team uses the protected Artsay administration. Resend sends booking confirmations and notifications to Charlie’s; Zoho hosts the info@brasserie-charlies.be mailbox. Data is not sent to the former booking system.
Booking data is automatically removed from the active database 90 days after the visit date, together with its queued email copies and change history. The Belgian date determines this period. Cloudflare may retain deleted data in recovery backups for up to seven further days. The selected Resend plan retains sending data and email content for 30 days. Copies in the Zoho mailbox are separate from automatic database deletion; the team retains correspondence for as long as needed to handle your enquiry or meet an applicable legal obligation.
Resend’s sending region is Ireland; Resend stores email data in the United States. Other providers may also process data outside the European Economic Area. Their data processing terms include European Standard Contractual Clauses. Further information: Cloudflare, Resend and Zoho.
Your rights
You can request access to, correction of or deletion of your personal data. Depending on the circumstances, you can also request a restriction of processing, object to processing or receive your data in a portable format.
Send your request to info@brasserie-charlies.be. To protect your data, Charlie’s may ask for information to verify your identity. You also have the right to lodge a complaint with the Belgian Data Protection Authority.
Links to other websites
Instagram, Facebook, Google Maps and Artsay open through ordinary links. There are no embedded social media trackers or maps. You only visit the external website when you click a link; that provider’s privacy policy then applies.
Management app and notifications
The team can read and reply to correspondence from the Zoho mailbox within the protected administration. The server temporarily relays email content without creating a separate mailbox in the booking database. External email images do not load automatically.
Administrators can enable notifications on their own devices. We store the technical notification address, device label and connection dates until the device is disconnected or permission is revoked. The device notification service receives an encrypted message. Lock-screen notifications contain no guest names, email addresses or message content. Notification history without contact details is removed after 90 days.
A question about your data?
Contact Charlie’s. If your question concerns a booking, please include its reference.
